The Role:
Are you a tech-forward logistics expert ready to redefine how a world-class racing championship moves around the globe? We are looking for a Travel Coordinator to join the Formula E Travel Department. This isn't just about booking flights; it’s about process automation, data integrity and strategic optimisation.
Reporting to the Senior Race Travel Manager, you will be the architect of our internal travel systems. As we gear up for Season 13 and beyond, you will move away from manual tasks, using tools like Smartsheet, Google Drive and AI to build a scalable, automated travel function that supports our staff, contractors and high-profile technical projects like Gen 4.
Digital Transformation & Systems Ownership: You will lead the charge in replacing manual workflows with tech-driven solutions. You'll own the Internal Travel Portal, the definitive "Knowledge Hub" for the entire organisation, ensuring 100% data accuracy for race sheets and annual rate cards.
Specialised Logistics & Contractor Management: You will independently "own" the end-to-end travel lifecycle for our catering contractors and major technical projects. From complex international rooming lists to ground transfers, you ensure our extended team arrives ready to perform.
Compliance & High-Pressure Documentation: You will navigate the complex world of global visas and work permits. In a deadline-driven environment, you’ll be the gatekeeper of the FE Travel Policy, ensuring every pre-departure letter is perfect and every invoice is audited with absolute precision.
What we're looking for in you:
The Tech-Savvy Optimiser: You don't just use spreadsheets; you master them. You have a proven track record of using Smartsheet and Google Workspace to manage complex data sets. An interest in AI and automation isn't just a plus, it’s how you approach every task.
The Logistics Powerhouse: With a background in corporate travel or global events, you are comfortable managing high-volume mailboxes and "best value" research. You have the experience to coordinate large-scale group movements across multiple time zones without breaking a sweat.
The Assertive Communicator: You possess "assertive professionalism." You are comfortable having the "difficult conversations" required to enforce travel policies across all levels of the business, all while maintaining a positive, "can-do" attitude that fits our high-energy team.
Meticulous & Resilient: You have an eye for the smallest details, from proof-checking visa applications to auditing complex financial codes. You stay calm and professional when the pressure is on and the deadlines are tight, ensuring nothing falls through the cracks.
